# Agency accounts

> Run many client brands from one 3RD organization: group brands into client accounts, give each brand its own license, pitch with free demo brands, and bill clients separately.

If your organization is set up as an agency, 3RD adds tools for running many client brands from one place. You can group brands by client, give each brand its own license, start free demo brands for pitches, and send a client its own invoice.

<Info>
  3RD sets up agency organizations with you. Your agency's plan is a custom deal, so the **Plan** page in organization settings points you to your 3RD account manager instead of self-service plans. To become an agency, email [gethelp@get3rd.com](mailto:gethelp@get3rd.com) or speak to your 3RD contact.
</Info>

All the settings on this page live in organization settings. Open the account menu and choose **Organisation**.

## Who can do what

| Task | Who |
| - | - |
| See the **Accounts** page | Owners and admins |
| Create, rename and delete client accounts, and move brands between them | Owners only |
| Manage brand licenses and demos, buy licenses and add-ons, set up client billing | Owners and admins |
| Choose a client account when adding a brand | Owners only |

## Client accounts

A **client account** groups the brands that belong to one client, for example a client with four brands. A brand is in at most one client account, or in none. A client account can be empty.

Open **Organisation → Accounts**. Agencies see this page as **Accounts**; other organizations see it as **Brands**. Each client account is listed with its brands. Brands that aren't in a client account are listed under **Single brand accounts**.

The **License** column shows what each brand runs on:

* **Pooled** — the brand draws on your organization's shared plan.
* **Demo** — a free [demo brand](#demo-brands).
* **A plan name** — the brand has its own license.

Any add-ons a brand holds show next to it, for example **+1 add-on**.

### Create a client account

<Steps>
  <Step title="Click Add account">
    On the **Accounts** page, click **Add account**.
  </Step>

  <Step title="Name it and pick its brands">
    Enter a name. Under **Brands to put in it (optional)**, tick the brands that belong to this client. You can also leave it empty and add brands later. A brand that is already in another client account moves to the new one.
  </Step>

  <Step title="Choose who else gets access">
    If you picked brands, click **Next**. Under **Also give access to**, tick anyone who should get the client's other brands. Nobody's current access changes unless you tick them.
  </Step>

  <Step title="Create it">
    Click **New client account**.
  </Step>
</Steps>

### Move, rename or delete

* **Move a brand.** Click **Move to…** on the brand's row and choose a client account. Moving a brand into a client account asks who else should get it. Choose **Single brand accounts** to take it out of its client account. Moving a brand out changes nobody's access.
* **Rename or delete a client account.** Open the **More actions** menu next to its name. Deleting a client account ungroups its brands, and its add-ons go back to your organization. Nobody loses access to any brand.

<Note>
  You can't delete a client account that has its own invoice. Move its brands out and cancel its add-ons first.
</Note>

Access is still given per brand. Grouping brands doesn't give anyone access on its own. See [Member access](#member-access).

## Brand licenses

With brand licenses, each brand gets its own plan. A brand's features and limits follow the plan it's assigned. Brands without a license of their own draw on your organization's pooled plan.

Open **Organisation → Brand licenses**. The page has two tabs: **Brand licenses** for your regular brands, grouped by client account, and **Demos** for your [demo brands](#demo-brands).

### Change a brand's license

<Steps>
  <Step title="Open the brand">
    Click **Edit license** on the brand's row.
  </Step>

  <Step title="Choose or buy a license">
    Under **Choose unused license**, pick a plan your agency already owns but hasn't assigned. Or, under **Add new license**, buy a new one for this brand.
  </Step>

  <Step title="Add add-ons (optional)">
    Under **Add-ons**, assign spare add-on units your agency owns, or buy more.
  </Step>

  <Step title="Save">
    If you're only assigning what you own, click **Save**. If you're buying something, click **Buy and save**, check the total, and click **Buy**.
  </Step>
</Steps>

New licenses and add-ons are added to your agency's subscription, and charges are prorated to the end of the current billing period.

### Bill a license separately

When you buy a new license, turn on **Bill this license separately** to give it its own invoice, due in 14 days. Use this when a client pays for their own brand. Some plans can only be billed on their own invoice. If the brand's client account has [its own invoice](#client-billing), the license goes on that invoice instead.

### Cancel a brand's license

You can cancel a brand that has its own license without affecting your other brands.

<Steps>
  <Step title="Open the license">
    Click **Edit license** on the brand's row, then **Cancel license…**.
  </Step>

  <Step title="Choose the last day">
    Pick the brand's **Last day**. The earliest date you can pick follows the license's notice period.
  </Step>

  <Step title="Confirm">
    Click **Cancel brand**.
  </Step>
</Steps>

Billing for the brand stops on that date and its tracking pauses. Add-ons bought for the brand stop too. Its data stays available to view. Until the last day, the brand shows **Cancelling on** that date, and you can click **Undo** to keep it running.

## Demo brands

A demo brand lets you show a prospect their results before they sign. Demos are:

* **Free for 5 days.**
* **Outside your brand slots.** A demo doesn't use one of your licenses, so you can start one even when all your brand slots are in use.

A banner on the demo brand shows when it ends. When the demo ends, tracking stops, and its results up to then stay in 3RD.

Manage your demos on the **Demos** tab of **Organisation → Brand licenses**:

* **Renew** a demo to run it for another 5 days from today. Renewing a live demo replaces the time it has left. Renewing an ended demo resumes tracking today, and the days since it ended stay empty.
* **Convert** a demo to a full plan when the client signs. The demo ends, tracking carries on, and the brand keeps its history. The plan is added to your next invoice, prorated for the rest of the period. You can choose **Invoice this brand separately** to get an invoice with the brand name on it that you can pass on to your client. Owners and admins can convert demos.

## Add a brand as an agency

Click **Add brand** in the brand switcher. On the first screen, choose what the brand runs on:

| Option | What happens |
| - | - |
| **New license** | You buy a license for this brand. Pick the plan if more than one is offered, and see the price before you continue. The license is bought once the brand is set up: the last button reads **Create and buy** with the price. You can also turn on **Bill this license separately**. |
| **Existing license** | The brand uses one of your agency's unused licenses. If you have more than one kind, pick the plan. |
| **Demo** | A free 5-day [demo brand](#demo-brands). The last button reads **Start demo**. |

If all your brand slots are in use, only **Demo** is available.

Then choose **Quick setup** or **Guided setup**, as for any brand.

If you're an owner and your organization has client accounts, you can also pick the brand's **Client account** on the first screen. Choose **None (single brand account)** to leave it ungrouped. If you pick a client account, you can tick who else should get the new brand under **Also give access to**.

<Note>
  If the brand is created but its license can't be bought or assigned, 3RD tells you. Finish it from **Organisation → Brand licenses**.
</Note>

## Client billing

A client account can have its own invoice, so a client pays for their own brands directly. On **Organisation → Brand licenses**, click **Account billing** next to a client account's name. The dialog has two parts:

* **Invoice.** Turn on **Invoice \[client] separately**. The client account gets its own invoice, sent to your billing contact, for its brands' licenses and its add-ons. Each line moves to the new invoice at its next renewal, so nothing is charged twice or credited back. 3RD shows which lines move and when before you confirm. A brand billed in another currency or for a different period keeps its own invoice. Turning it off moves the lines back to the agency's invoice at their next renewal.
* **Shared prompts.** Prompt add-ons pooled across the client account's brands. Assign your agency's spare units, or buy more. Purchases are charged now, prorated to each invoice's next renewal.

New licenses and add-ons bought for a client account that has its own invoice go straight onto that invoice.

## Account portfolio

The **Account portfolio** gives you one view across all your client brands: visibility and its change, rank, sentiment, and task activity per brand. Open it from the brand switcher.

If you have client accounts, use the **By brand** and **By account** switch to see brands one by one or grouped by client account.

## Member access

Access is given per brand. To change what someone can see, open **Organisation → Members** and edit the person. Under **Brand access**, brands are grouped by client account. Brands that aren't in a client account are listed under **Other brands**.

Each client account has an **All brands in \[client]** switch. Turning it on gives the person **Full access** to every brand in that client account they don't already have. Brands they already have keep their current access level. Turning it off removes their access to all of that client account's brands. You can still set each brand's level one by one.
